This job exists to provide administrative support to the CEO ensuring efficient and effective management of the CEO Office.


A day in the life of WVA’s Administration Assistant to CEO includes:

Reporting directly to the Executive Assistant of the CEO, you must have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organisational skills, and the ability to maintain a realistic balance among multiple priorities.

Your duties will include, but are not limited to:

  • Managing all travel requirements for CEO in liaison with Administration Manager to CEO
  • Managing all event logistics for CEO in liaison with media and event coordinators
  • Managing all logistics for CEO major meetings in liaison with Administration Manager
  • Logging of all CEO travel into organization calendar
  • Reconciliation of CEO’s credit card and travel expenses
  • Processing of vendor invoices including setting up of new vendor, invoice purchase order and payment
  • Processing of sole trader superannuation payments
  • Liaising with Finance regarding monthly CEO cost centre breakdowns


Who are you?

  • Minimum of 5 years’ experience in similar roles
  • Experience in managing the administrative components to financial processing and budgeting
  • Experience in managing Global travel
  • Year 12 and/or vocational training relevant to a professional administrative role
  • Good knowledge of Microsoft Office
  • Strong business acumen, judgement and decision making
  • Flexible and proactive mindset
  • Ability to confidently liaise at all levels


What you need to know

This role is a 6 months fixed term contract operating in a part-time capacity (3 days/week) and will be based at our head office in Burwood East, Victoria.
