The Position

Provide administrative and operational support to the Head of the Australia First Nations Program. The role plays an important coordination and communication function across multiple stakeholders both internally and externally.

Maximum Term Contract – 12 Months (Parental Leave)

Part Time – 18.5 Hours Per Week

Responsibilities include:

  • Maintain Head of AFNP calendar including planning and scheduling meetings, prioritising commitments, conferences, teleconferences and travel schedule
  • Monitor emails and routing correspondence
  • Coordinate whole of Program team meetings – drafting agenda and minutes including follow up actions
  • Manage relationships with key internal stakeholders including actioning requests, managing deadlines and troubleshooting.
  • Assist in managing Head of AFNP dynamics approvals and acquittals.
  • Organise end to end travel management for AFNP Lead Team
  • Provide HR support to the Head of AFNP in completing WVA forms

Who we are looking for:

You will need to be self-motivated with strong initiative whilst also having the ability to work within a team.

You will also have:

  • Highly developed PA and Office Management experience including the ability to provide administrative and operational support
  • Demonstrated ability to organise, schedule and plan and to meet rigid and conflicting demands and deadlines along with the ability to adapt to changed priorities
  • Excellent time management and organisational skills
  • Strong communication and interpersonal skills with the ability to produce clear and accurate communications that are appropriate for their intended audience
  • Proven computer literacy skills, including use of Microsoft Office suite with attention to detail and a high level of accuracy
  • Experience in dealing with confidential material and sensitive matters
  • Cert IV or equivalent in Business Administration
