An exciting opportunity has opened up for an Administrative Coordinator to join our team at World Vision Australia. This is a permanent full time opportunity.

In this role you will provide a high level of administrative management and operational assistance to Australia First Nations Program (AFNP) teams. This is a great opportunity to harness your professional skills, creativity and passion for working with First Nations communities.  

Your main duties and responsibilities will include:

  • Provide financial support to metro and remote field-based teams, ensuring timely payments for services/expenditure for project activities in accordance with WVA policies and procedures via Dynamics D365
  • Offer support, training and problem solving for AFNP staff on specific issues with credit card acquittals
  • Support project managers and facilitators in making logistical and travel arrangements for project activities including flights, accommodation, car hire and manage travel processes for AFNP field teams.
  • Assist the hiring manager, complete onboarding for new staff, including initial WVA / AFNP introductions to policies.
  • Liaise with the Property Team on the coordination of AFNP fleet vehicles leases, repairs, maintenance, and payment of invoices
  • Request and coordinate risk register updates from project managers for informing of overall AFNP risk register 
  • Review new contracts and identify specific clauses that need highlighting in regard to safeguarding, fraud or other concerns.
  • Scheduling and minute taking for meetings as required
  • Lead AFNP SharePoint Filing & Folder review process and continue to promote sound information management processes across AFNP

Who we’re looking for 

  • Year 12 and/or vocational training relevant to a professional administrative role
  • Experience in Administration / office management and coordination
  • Good knowledge of Microsoft Office particularly Dynamics D365
  • Strong written and verbal communication
  • Scheduling, organising and a high attention to detail
  • Time management and the ability to respond quickly
  • Flexible and proactive mindset
