Position
We’re seeking a highly organised and proactive Business Administration Manager to support our CIO and Technology Department. This pivotal role ensures the smooth running of administrative operations, facilitates effective communication across internal and external stakeholders, and contributes to strategic project coordination.
We’re open to candidates seeking either a full-time (1.0 FTE) or part-time (0.8 FTE) arrangement.
Key Responsibilities
- Executive Support: Manage the CIO’s calendar, emails, travel, and stakeholder meetings with precision and discretion.
- Departmental Coordination: Draft agendas and minutes, support HR processes, and manage departmental onboarding and events.
- Project & Financial Administration: Assist with budget management, purchase orders, expense claims, and strategic project support.
- Communication & Collaboration: Act as the first point of contact for new staff, liaise with other Business Administration Managers, and ensure consistent practices across WVA.
- Travel Management: Provide end-to-end travel support for the CIO and department staff.
What We’re Looking For
- Minimum 3 years’ experience as an Executive Assistant or Office Manager at Chief level within a medium to large organisation.
- Cert IV in Business Administration or equivalent experience.
- Advanced proficiency in Microsoft Office Suite and familiarity with CRM systems.
- Strong interpersonal and communication skills, with a proactive and solution-focused mindset.
- Ability to manage competing priorities, maintain confidentiality, and deliver high-quality outcomes under pressure.
